GETTING STARTED
ACCESS GOOGLE DRIVE:
- → Visit drive.google.com
- → OR click the Google apps icon (9 dots) in Gmail → Drive
- → Sign in with your Google account
DRIVE SECTIONS:
- → My Drive: Your personal files and folders
- → Shared with me: Files others have shared with you
- → Recent: Files you've opened recently
- → Starred: Files you've marked as important (quick access)
- → Trash: Deleted files (kept for 30 days before permanent deletion)

WHY USE GOOGLE DRIVE?
- → Access files from anywhere (computer, phone, tablet)
- → Never lose files (even if your device breaks)

UPLOADING FILES
METHOD 1 - DRAG AND DROP (EASIEST):
- Open Drive in your browser
- Open a folder on your computer
- Drag files from your computer folder to the Drive window
- Drop them and watch them upload!
This works for individual files AND entire folders!
METHOD 2 - UPLOAD BUTTON:
- Click "+ New" button (left side of screen)
- Select "File upload" or "Folder upload"
- Navigate to file/folder on your computer
- Select it and click "Open"
METHOD 3 - RIGHT-CLICK:
- → Right-click anywhere in Drive
- → Select "Upload files"
- → Choose files and upload
Upload Progress:
Watch the progress bar in bottom right corner. You can continue working while files upload in the background!
WHAT TO UPLOAD:
- → Important documents (resumes, certificates, IDs)
- → Tax documents and financial records
- → Photos and videos you don't want to lose
- → Work files and projects
- → Medical records
ORGANIZING WITH FOLDERS
Stay organized! Without folders, you'll have hundreds of files in one big messy list.
HOW TO CREATE FOLDERS:
- Click "+ New" button
- Select "Folder"
- Give it a clear, descriptive name
- Click "Create"
FOLDER STRUCTURE EXAMPLE:
ORGANIZATION BEST PRACTICES:
- → Use clear names: "2024_Tax_Return" not "taxes" or "stuff"
- → Create subfolders: Folders inside folders for complex projects
- → Keep related files together: All work docs in Work folder
- → Date your files: "2024-11-03_Meeting_Notes" helps with sorting
- → Don't go too deep: Max 3-4 levels of subfolders or it gets confusing
- → Color code folders: Right-click → Change color for visual organization
MOVING FILES INTO FOLDERS:
- → Drag and drop: Click file, drag to folder
- → Right-click: Right-click file → Move to → Select folder
- → Keyboard shortcut: Select file, press Shift + Z, choose folder

CREATING GOOGLE FILES:
- Click "+ New" button
- Hover over "Google Docs," "Google Sheets," etc.
- Select "Blank document" or choose a template
- Start creating!
SHARING FILES & FOLDERS
Share files without emailing attachments back and forth - everyone works on the same version!
HOW TO SHARE:
- Right-click the file or folder
- Select "Share"
- Enter email addresses of people to share with
- Choose permission level (Viewer, Commenter, or Editor)
- Add a message (optional)
- Click "Send" - they'll get an email notification
PERMISSION LEVELS:
- → Viewer: Can only view (can't edit or comment)Use when: You want someone to see it but not change it
- → Commenter: Can view and leave comments/suggestionsUse when: You want feedback but not direct edits
- → Editor: Can make changes to the fileUse when: You're collaborating and want them to edit directly
LINK SHARING (ALTERNATIVE METHOD):
- Click "Share" button on file
- Click "Get link" at the top
- Choose who can access:
- • Restricted: Only people you specifically add (most secure)
- • Anyone with the link: Anyone who has the link can access
- Choose permission level (Viewer, Commenter, or Editor)
- Click "Copy link"
- Send the link via email, text, or any messaging app
⚠️ SECURITY WARNING:
Be VERY careful with "Anyone with the link" - that link can be forwarded to anyone!
- • Use "Restricted" for sensitive documents (tax returns, medical records, personal info)
- • Use "Anyone with the link" only for non-sensitive stuff (party invitations, public info)
REMOVE SHARING / REVOKE ACCESS:
- Right-click file → Share
- Find the person's name
- Click the dropdown next to their permission level
- Select "Remove"
REAL-TIME COLLABORATION
The magic of Google Drive - work together on the same document at the same time!
COLLABORATION FEATURES:
- → See who's editing: Profile pictures appear in top right corner
- → See their cursor: Watch others type in real-time (different colored cursors)
- → Comments: Highlight text → click comment icon → leave feedbackGreat for discussions without changing the actual document
- → Suggesting mode: Click pencil icon → Switch to "Suggesting"Your edits appear as suggestions that the owner can accept or reject
- → Version history: File → Version history → See version historySee EVERY change ever made, who made it, and when
- → Restore old versions: Click on any past version to restore itUndo mistakes or see what the document looked like yesterday
- → @ mentions: Type @ and someone's name to notify them in comments
Real-World Example:
Team working on proposal: One person writes intro, another handles budget section, a third reviews and leaves comments. All in one document at the same time. No email chaos with "final_v2_REAL_FINAL.docx"!
STORAGE MANAGEMENT
CHECK YOUR STORAGE:
Look at bottom left of Drive - shows "X GB of 15 GB used"

WHAT COUNTS AGAINST YOUR 15 GB:
- → Files uploaded to Drive (photos, videos, PDFs, Word docs, etc.)
- → Gmail messages and attachments
- → Google Photos (unless using "Storage saver" mode)
WHAT DOESN'T COUNT (FREE!):
- → Google Docs, Sheets, Slides, Forms (unlimited!)
- → Files shared with you (counts against owner's storage, not yours)
HOW TO FREE UP SPACE:
- Empty your trash: Deleted files stay there 30 days and still use storage
- • Click "Trash" in sidebar → Three dots → "Empty trash"
- Delete large files: Sort by storage size to find big files
- • Right-click empty space → Sort by "Storage used"
- Check Gmail: Old emails with large attachments add up fast
- Check Google Photos: Videos use lots of storage
- Convert to Google Docs: Word docs use storage, Google Docs don't
- • Open Word doc → File → Save as Google Docs → Delete original

- → Check "Shared with me" carefully: Don't open suspicious files from people you don't know

⚠️ REMEMBER:
Anyone can forward "Anyone with the link" URLs. Once shared, you can't control who sees it if they share it further. Think twice before clicking that share option!

- → Star frequently used files: Quick access from "Starred" section
- → Search is powerful: Searches INSIDE documents, not just file names
- → Right-click everything: Hidden options in right-click menus
- → Descriptive file names: "Resume_John_Smith_2024" not "Resume_Final_v3"
- → Create desktop backup folder: Regularly upload important computer files
- → Use color-coding: Right-click folder → Change color for visual organization

TROUBLESHOOTING
COMMON PROBLEMS:
"My file won't upload"
- • Check your internet connection
- • Check available storage space (bottom left)
- • Some file types are restricted for security - try uploading as .zip
- • File might be too large - split into smaller files
- • Try a different browser
"I can't find a file"
- • Use search bar at top - searches file names AND content
- • Check "Shared with me" section (if someone else owns it)
- • Check "Recent" to see what you opened lately
- • Check Trash (files stay 30 days)
- • Sort by "Last modified" to find recently changed files
"Someone can't access my shared file"
- • Verify you typed their email correctly
- • Check if link is set to "Restricted" (change to "Anyone with link" if appropriate)
- • Make sure they're signed into the Google account you shared with
- • Try sharing again and send a new link
- • Check if your organization has sharing restrictions
"Drive is slow or not loading"
- • Check internet connection
- • Clear browser cache and cookies
- • Disable browser extensions temporarily
- • Try incognito/private browsing mode
- • Try a different browser
