GETTING STARTED

ACCESS GOOGLE CALENDAR:

  • → Visit calendar.google.com
  • → OR click the Google apps icon (9 dots) in Gmail → Calendar
  • → Sign in with your Google account

CALENDAR VIEWS:

  • Day View: See hourly schedule for one day
  • Week View: See 7 days at once (most popular)
  • Month View: See entire month overview
  • Year View: Annual planning view
  • Schedule View: List view of upcoming events

CREATING EVENTS

QUICK CREATE (FASTEST):

  1. Click any time slot on your calendar
  2. Type event name
  3. Press Enter

Perfect for simple appointments!

DETAILED CREATE:

  1. Click "Create" button (colorful + icon in top left)
  2. Add event title (e.g., "Doctor Appointment")
  3. Set date and time (or make it all-day)
  4. Add location (integrates with Google Maps)
  5. Add description or notes
  6. Set notifications/reminders
  7. Add guests (optional)
  8. Click "Save"

EVENT OPTIONS:

  • All-day events: For birthdays, holidays, deadlines (no specific time)
  • Notifications: Add multiple reminders (day before + 1 hour before recommended)
  • Color coding: Organize by category (work = blue, personal = green, family = red)
  • Add guests: Invite others via email - they get calendar invitation
  • Video conference: Automatically add Google Meet link
  • Attachments: Add files from Drive to event

RECURRING EVENTS

Create events that repeat automatically - no need to add them manually each time!

HOW TO CREATE:

  1. Create a new event
  2. Click "Does not repeat" dropdown
  3. Select frequency:
    • Daily: Every day
    • Weekly: Every week on specific day(s)
    • Monthly: Same day each month
    • Yearly: Annual events
    • Custom: Create your own pattern
  4. Set end date (or leave ongoing)
  5. Save the event

REAL-WORLD EXAMPLES:

  • → Weekly class every Tuesday at 6 PM (repeats weekly)
  • → Monthly bill payment on the 1st (repeats monthly)
  • → Daily medication reminder at 8 PM (repeats daily)
  • → Biweekly team meetings every other Friday (custom)
  • → Annual birthday reminders (repeats yearly)

Pro Tip: You can edit or delete a single instance OR the entire series. Right-click the event to choose!

MULTIPLE CALENDARS

Organize different areas of your life with separate calendars - toggle them on/off as needed!

HOW TO CREATE NEW CALENDAR:

  1. Look at left sidebar under "My calendars"
  2. Click the "+" icon next to "Other calendars"
  3. Select "Create new calendar"
  4. Give it a name and description
  5. Choose a time zone (if different from main calendar)
  6. Click "Create calendar"

CALENDAR IDEAS:

  • Personal Calendar: Appointments, errands, personal events
  • Work Calendar: Meetings, deadlines, projects
  • Family Calendar: Kids' activities, family gatherings
  • Bills Calendar: Payment due dates, subscriptions
  • Fitness Calendar: Workout schedule, classes
  • Side Hustle: Client meetings, project deadlines

COLOR CODING:

Assign each calendar a different color for visual organization

  1. Click three dots next to calendar name
  2. Hover over the color circle
  3. Select a new color

Toggle Visibility:

Check or uncheck calendars in the sidebar to show/hide them. Hide "Work" on weekends, hide "Personal" during work hours!

SHARING CALENDARS

Coordinate schedules with family, coworkers, or teams by sharing your calendar!

HOW TO SHARE:

  1. Click three dots next to calendar name in sidebar
  2. Select "Settings and sharing"
  3. Scroll to "Share with specific people"
  4. Click "Add people"
  5. Enter their email address
  6. Choose permission level
  7. Click "Send"

PERMISSION LEVELS:

  • See only free/busy (hide details): They see you're busy but not event detailsBest for: Coworkers, professional contacts
  • See all event details: They see everything on your calendarBest for: Family members, close friends
  • Make changes to events: They can add/edit events on your calendarBest for: Partners, assistants, team coordinators
  • Make changes and manage sharing: Full control including sharing with othersBest for: Only people you fully trust!

SHARING SCENARIOS:

Family Calendar

Share with "Make changes" so everyone can add soccer practice, appointments, events

Work Calendar

Share with boss/team using "See all event details" so they know your availability

Personal Calendar

Share with partner using "See all event details" to coordinate schedules

REMOVE SHARING:

  1. Go to calendar Settings and sharing
  2. Find the person under "Share with specific people"
  3. Click the X next to their name

PRO TIPS & TRICKS

  • Focus Time: Create a calendar called "Focus Time" to block out uninterrupted work periods
  • Public Calendars: Subscribe to holidays, sports schedules, moon phases (Search → Browse calendars of interest)
  • Email Notifications: Set up email notifications for important events (in addition to pop-ups)
  • World Clock: Add world clocks if you work with people in different time zones
  • Working Hours: Set your working hours so people know your availability
  • Event Colors: Color-code individual events (not just calendars) for extra organization
  • Quick Add: Type naturally like "Coffee with Sarah tomorrow at 3pm" and Calendar understands!
  • Tasks Integration: Use Google Tasks alongside Calendar to see to-dos and events together

TROUBLESHOOTING

COMMON PROBLEMS:

"My event disappeared"

  • • Check which calendars are visible (checkboxes in left sidebar)
  • • Search for the event name
  • • Check if it was accidentally moved to a different date
  • • Refresh your browser

"I can't see someone's shared calendar"

  • • Check your email for the sharing invitation
  • • Look under "Other calendars" (not "My calendars")
  • • Ask them to reshare it
  • • Make sure you're signed into the correct Google account

"Reminders/notifications aren't working"

  • • Check browser notification settings (allow notifications for calendar.google.com)
  • • On mobile: Check app notification permissions in phone settings
  • • Make sure you actually added notifications to the event
  • • Check that notifications aren't muted on your device

"Events are showing in wrong time zone"

  • • Go to Settings (gear icon) → General → Time zone
  • • Make sure it's set to your current location
  • • Check individual event settings if traveling
